Registration Information

Registration Hints – Register Early!
To ensure your registration is not delayed, fill out all forms completely and correctly including your signature and payment method. If the class of your choice is full, you will be placed on a Wait List and contacted about the status of your registration.


For Spring 2016...

Resident (RES) Registration
Beginning at 8am on February 24 registrations received by Leisure Link will be processed immediately on a first-come, first-serve basis. Mail, walk-in or fax registrations will be held until February 24 and randomly processed in a timely manner, which could take up to three working days to complete. All registration forms received on or after February 24 through March 3 will be dated and randomly processed daily according to the date received.

Nonresident (NR) Registration
Beginning at 8am on March 4 registrations are processed on a first-come, first-serve basis.

How to Register for Activities

  1. Click on the Sign In or My Account button.
  2. Enter your Login email and Password.
  3. Click on Enroll in Activities.
  4. Select the activity you would like to register for by clicking on the activity name.
  5. Click the Add to Cart button to put the activity in My Cart.
  6. Select the participant for the activity. If more than one household member will be attending the activity, click on the Add Another Participant link. Click Next.
  7. Review enrollment fees. Click on Proceed to Shopping Cart.
  8. Review registration details. Click on Proceed to Checkout. You must agree to any required waiver(s). Click Next.
  9. Complete Payment Information. This system accepts Visa, MasterCard, Discover and American Express.
  10. Click Pay and Finish.
How to Register Using Flex Reg for Specific Summer Camps
  1. Click on the Sign In or My Account button.
  2. Enter your Login email and Password.
  3. Click on Enroll in Activities.
  4. Select the activity you would like to register for by clicking on the activity name.
  5. Click on Enroll Now.
  6. Select participant and click Continue.
  7. Using the screen prompts, click on your choice of preferred dates for th activity. Click the Add to Cart button.
  8. Choose your payment options. Click the Continue button.
  9. Review enrollment details. Click on the Continue button.
  10. Review registration details. Click on Proceed to Checkout. You must agree to any required waiver(s). Click Next.
  11. Complete Payment Information. This system accepts Visa, MasterCard,
    Discover and American Express.
  12. Click Pay and Finish.

How to Create a NEW Online Customer Account
Complete the Household Information Form to be entered into the registration system by park district staff. This form is available in this activity guide or use the interactive form online at stcparks.org.

How to Activate an EXISTING Online Customer Account
Your Login is the email address associated with your account. The first time you Login to your account, click on forgot Your Password? to create a new password. Staff is unable to assist in accessing your password.

What if you Forget Your Password
When you are prompted to Login, check the Forgot Your Password? box and click continue. You will need to provide the email address you used to create your account. An email will be sent to you containing a temporary password. Upon logging in, you will be prompted to change your password.

Mail, Walk-In or Fax Registration

  1. Select the activity you would like to register for.
  2. Complete the registration form fully including 1st and 2nd choices, all activity code numbers, contact phone numbers and your signature.
  3. Select your payment method. Fax registrations must be paid by a credit card.

Payment Options
CASH, CHECK or MONEY ORDER
If paying by check, total all fees and include your check or money order payable to the St. Charles Park District. There will be a $25 charge for all checks returned from your bank for non-sufficient funds. If paying by credit card, remember to include the expiration date.


How will you know if you’re registered?
A registration confirmation will be emailed to the main contact of the household account once the registration is processed. Staff will contact you via email or by phone*regarding your registration in the following
cases:

• The class you have requested has reached its registration limit, and you were placed on the Wait List.
• Your second choice was processed.
• Your registration form is incomplete.
• Your class is being cancelled due to insufficient registration.

*For this reason, it is imperative that you provide both your email and phone number on your registration form.


What happens when you’re on the Wait List?
You will remain on the Wait List until the class begins. Staff will make every effort to create additional classes. You will be contacted if accommodations are successful.


What is a “Satisfaction Guarantee”?
The District is constantly striving to provide the very best recreation services for everyone. Staff will do everything they can to make sure you are satisfied! After a participant has attended at least one class and s/he is not pleased with the program, for just cause, s/he may do ONE of the following:

- Repeat a class at no charge.
- Receive full credit that can be applied to any other program
- Receive a full refund.

A “Satisfaction Guarantee” will not apply to: adult sports leagues, food, meals, beverages, Pottawatomie Preschool, tickets acquired from third parties, entertainment, sporting events, pool daily admission fees, pool season passes, golf season passes, golf instruction or trips. Refunds for these programs or activities will be governed by such rules in effect for each program.


Refunds & Transfers
For all refunds & transfers (other than satisfaction guarantee refunds), a $4 processing fee will apply.
• After a program/event has started, a refund may be issued for medical or other circumstances (job transfer, change in working hours, death in the family) as approved by the Superintendent of Recreation. Proof will be required in writing prior to the refund being issued. The refund will be prorated for the services used.

• Trip refunds will be granted only if the vacated spot is filled.
• In the event an activity is cancelled, a total refund will be made to all participants.
• Refund Policies for Pottawatomie Preschool, Baker Station, Summer Camps or Swim Lessons, refer to the appropriate sections within this activity guide.
• Refund applications must be made within 10 days after the last class meeting. A cancelled check or proof of identification may be required. Refunds will be processed in the following manner:
• If you paid by cash or check, you will receive a refund check within 15 business days after receipt of
refund request.
• If you paid by credit card, the refund will be credited to your card.


Withdrawal Fees
These programs require withdrawal fees: Preschool, Baker Station, summer camps, teen camps, adult
athletic leagues and specified trips.


Cancellations
If a program registration does not meet the minimum established requirement, it will be cancelled one week
prior to the start of the activity. Staff will make every effort to contact you. The District reserves the right to
alter or change the activity offered to serve all participant needs in the best manner possible. The District reserves the right to cancel classes due to insufficient registration or causes beyond its control.



Additional Registration Information

Resident/Non-Resident Status
A resident (RES) is defined as anyone living within the geographical boundaries of the St. Charles Park District who pays property taxes contributing to the District. The District reserves the right to request proof of residency. A non-resident (NR) is someone who lives outside the geographical boundaries and does not pay property taxes contributing to the District. For specific details, click here.

Instruction

The District cannot guarantee that the instructor listed for each program will teach that class. Instructors are not allowed to let more people register than the number established by the District.

Age Limitations
In order to provide your child with the best possible recreational and/or learning experience, all programs are planned according to the ages listed in each brochure. Instructors are sensitive to the needs of the individual age levels. Children must be the age listed in the brochure for each program by the date the program begins unless otherwise specified.
